The welcome assistant, under the supervision of Welcome Officer, will ensure that Welcome related activities including but not limited to coordination of travel arrangements, visas, permits, accommodation, official registration and others are organized smoothly..
Job Responsibilities
-
Interacts with relevant authorities (ministries, consulates, etc.) regarding certificates, visas, permits, registration, etc.

Organizes pick-up and accommodation (hotel, apartment, and house) for staff and guests

Organizes staff travel (plane, train, bus, etc.) by the most effective costs/mean and, if required, coordinates drop-off at / pick-up from airports, stations, etc.

Keeps all appropriate databases up to date on staff members, missions and other travel, document validity, residences and any other relevant information (schools, airlines, telephone numbers, etc.).

Maintains Welcome files, business cards, briefing programmes and tours of the delegation for new arrivals.

Updates, applies and explains the ICRC rules pertaining to obtaining/renewing visas and official documents to all colleagues.

Organizes and follow-up airport transfer and pickup for ICRC staff.

Informs staff about visa regulations, requirements and duration of visa process prior to flight bookings.

Liaises with other delegations for visa process that cannot be done in the country

Liaises with Embassies to keep up to date on any procedural changes

Prepares invitation letters whenever needed.

Keeps records and be aware of expiry dates of staff members official visa validity and makes sure the concerned take appropriate action so they are renewed on due time

Adapts and updates the forms used for travel request

Takes the necessary arrangement for air-tickets booking as per the ICRC policy

Negotiates with Airways/ travel agents for special fare

Arranges the travel for ICRC staff, interlocutors, guests & members of the national society according to ICRC's travel policy

Update and Manages in a confidential way personal files of staff (copy passport, visa, driving license, vaccination card, blood group, flight tickets, signed rules, family info, etc.)

Assists the Welcome department in all administrative activities as requested

Educational Requirements

Graduation in any discipline
-
Fluent command of English and moderate computer literacy.
Experience Requirements: At least 2 year(s)

2 years of experience in relevant field.
