Role and responsibilities
The Grants Manager will contribute to achieving high quality programming by ensuring effective grants management including, compliance requirements, reporting, timely and quality proposal development, and internal and external communication. S/he ensures NRC programme/support teams are fully informed of relevant donor compliance regulations and NRC procedures, manages donor and other external reporting, and coordinates grant revisions. S/he also supports donor communication by ensuring effective channels of internal and external communications relating to grants are established and respected. The Grants Manager supports development of proposals and opportunity identification, as required.
The following is a brief description of the role:
- Adherence to NRC policies, guidance, and procedures;
- Support overview and maintenance of all grants, donor requirements, rules and regulations, and internal and external deadlines;
- Support the development of donor applications and reports, as well as ensuring donor compliance and quality control;
- Contribute to the development and revision of funding proposals, budgets, and donor reports;
- Be updated on donor priorities and track and share relevant calls for proposals;
- Contribute to continuously improve internal grant management systems;
- Provide an internal help-desk on donor related issues, including donor rules and regulations, as well as proposal and report writing;
- Coordinate the development and distribution of internal reports;
- Contribute to PCM procedures and usage of the NRC PCM framework in the Country Office, including inclusion of cross-cutting programme elements and M&E structures throughout all stages of the PCM;
- Represent with relevant partners and donors, as delegated by the Head of Programme;
- Promote the rights of refugees and displaced in line with NRC's advocacy strategy.
Specific responsibilities
- Lead a robust grants management structure to ensure that NRC CO projects are being completed on time, on track and on budget, with any necessary corrective actions being quickly identified and addressed
- Ensure the Grants Matrix is always accurate and up to date, including: pipeline funding opportunities, donor intelligence, active grant tracking, reporting schedules, partnership tracking, and compliance cheatsheets
- Ensure capacity-building of the NRC team as per the needs assessed to implement the Programme Cycle Management SOPs
- Responsible for developing and maintaining a document filing system for all project documentation
- Lead Country-level Grants Meetings and Support the Area Manager to facilitate Area-level Grants Meetings
- Lead the process for shifting the CO grants management system to 'Cycles'
- Conduct or support report writing training for all relevant program staff and provide ongoing capacity building to ensure high standard of donor reporting
- Support ongoing Financial Management oversight in collaboration with the Head of Programs, Area Manager and Finance Manager
- Lead NRC's Partnership management, in compliance with the Downstream Partnership Toolkit and all actions related to partners contractional requirements, reporting and ongoing focal point support
- Support Communication peers to enhance the country office profile by maintaining country wide and Core Competency fact sheets, providing relevant information for dissemination to donors, regional office, HQ and others, as necessary and requested.
Critical interfaces
By interfaces, NRC means processes and projects that are interlinked with other departments/units or persons. Relevant interfaces for this position are:
- Formulation, implementation and reporting of programmes and projects: Area Managers, CC Specialists and PDMs, Finance Manager, Regional Programme Coordinator and Senior Regional Adviser for Latin America.
- Technical support and development of trainings and training in PCM and Cycles: Area Managers and CC Project Managers, HR Manager

Professional competencies for this position:
- At least 3 years of relevant experience in a related field;
- Experience of donor relations and grants management (e.g. with institutional humanitarian and development donors);
- Good understanding of donor rules and regulations;
- Good understanding of project cycle management;
- Proven skills and experience in report and proposal development and working with multiple donors;
- Fluency in English both written and verbal
- Good personal organisational skills, including time management, and ability to meet deadlines and work under pressure;
- Good communication and interpersonal skills;
- Strong organisational and team working skills;
Context related skills, knowledge and experience (shall be adapted to the specific position):
- Knowledge of the context in Bangladesh, preferably within the Rohingya Crisis
- Ability to write narrative inputs to a high professional standard in English language
- Prior grants management experience and familiarity with European (DFID, ECHO, SIDA, SDC) and UN (UNICEF, UNHCR) donor regulations, procedures and requirements
- Excellent organizational skills and ability to determine priorities and meet multiple deadlines
- Able to work well both within a team and independently, in a challenging and fast-moving multicultural environment
- Self-motivated, honest, and highly responsible to deadlines
