Position Title: Administrative Support Officer- Human Resource

Position: 01

Location: Cox's Bazar Regional Office under CARE Bangladesh.

Duration: Duration of the Contract will be up to August 15, 2024 with possibility of extension.

The Administrative Support Officer (ASO)-HR will work closely with Human Resource Manager, Human Resource Officer and other colleagues in dealing with Human Resources management functions. This position is designed to provide administrative and logistic support to the day-to-day operations of the HR Department as well as to provide necessary documentation support to the other field office and CARE Bangladesh Dhaka HR department if needed.

II. Responsibilities and Tasks: % of Time
Responsibility # 1: Organize HR documents

35%
  • Help the relevant HR Officer in preparing and updating employee's personnel confidential files for the assigned projects/depts.
  • Help the relevant HR Officer in preparing and maintaining the Recruitment Files.
  • On behalf of HR Officer collect signatures from Hiring Managers, Interview Board Members on Recruitment Memos and file those in an organized way.
  • Provide logistic support as required by all the staff members of the HR department, such as photocopy, scanning, spiral binding, etc.
  • Support HR Officer in organizing PCF Achieve as and when required.

 
Responsibility # 2: Assist in Recruitment and Selection Processes

25%
  • Assist in emailing interview information/letters, along with Job description and preliminary job application to the shortlisted candidates.
  • Contact the shortlisted candidates over phone and follow up as and when required to know their availability.
  • Help to organize different interviews (Viva Voce and Written Test) and provide all logistic support related to the interview processes.
  • Work as invigilator during written tests, as and when required.

 
Responsibility # 3: Support to HRIS and relevant logistics

25%
  • Help departmental staff in drafting specific document as requested
  • Filing HRIS and Compensation relevant documents such as VAT/ TAX documents, TIN certificate, Increment Letters etc.
  • Regularly upload electronic files to online HRIS database.

 
Responsibility # 4:  Support to Various Staff Development Activities

15%
  • Help the HR Manager and HR Officer in arranging any training/ workshop and other purposes.
  • Contact different persons when required (regarding Internship and other training), such as workshop participants and resource persons.
  • Collect necessary documents for the monthly payments of Interns and short contract staff.

 
Responsibility # 5 Adhere to and support CARE Bangladesh's Safety and Security policy and systems

As part of this role, the job holder will be expected to adhere to and support CARE Bangladesh's Safety and Security policy and systems as part of their day to day duties, and comply, at all times, to safety & security protocols and directives, including reporting. Staff must maintain situational and self – awareness and be aware of the safety – security related consequences of their actions upon themselves, their team and the organization as a whole.

Qualifications and Experiences:  

  • Should have 2-3 years experiences in the relevant field.
  • MBA (HRM) or Masters in any discipline from reputed University. Having HR related Diploma/courses will be an added advantage. Educational qualifications can be relaxed if the candidate has adequate skills and experience.
  • Good skills of MS Office applications including Outlook Calendar utility.
  • Good interpersonal and communication (reading, writing, listening and speaking) skills.
  • Fluency in English and Bangla is essential (reading, writing, listening and speaking)
