The Embassy of Denmark in Bangladesh is looking for an Administrative Assistant
The Embassy of Denmark hereby offers a unique opportunity to work with Denmark's Government-to-Government activities. The Assistant will work closely with the Sector Counsellor and will provide support in both administration including in financial issues, planning and reporting.
Working hours: 20 hours per week.
Interviews
Before the actual interview, you will be asked to undertake a written test. The first interviews will be held on 26. May and second round on 31. May. In case we choose you for interviews, you will be notified no later than 23rd May. We will only notify the candidates selected for interviews.
Place of work: The Embassy of Denmark in Dhaka, Bangladesh is co-located with the Norwegian and Swedish Embassies in Gulshan 2.
Length of Contract: The contract will have a duration till the end of this year, extension subject to approval of new phase. The position is subject to initial 3 months' probation period.
Field of Work
The Sector Counsellor is handling a Government-to-Government Occupational Safety & Health initiative focusing on inspectors in DIFE (Department of Inspection for Factories and Establishments). The initiative include among other Danish experts providing training and guidance to DIFE inspectors. Other activities with projects in the same – sustainability – area is foreseen.
The Government-to-Government initiative started in 2016 and it is expected to continue until December 2025. There is a need for an Assistant to handle day-to day practical tasks and take care of registrations, follow up, detailed planning and financial reporting and translation.
Specific responsibilities are to
- Contribute to the successful registration, implementation & communication of the initiative.
- Manage appointments, logistics and follow up requirements.
- Ensure that project results are properly monitored and reported and registered into the system
- Handle budgets, reimbursements, disbursements, reporting, project management and accounting with due diligence.
- Handle any day-to-day tasks, arrangement of all logistics and bookings when Danish trainers are visiting Bangladesh and Inspectors from DIFE participating in trainings or organising trainings themselves.
- Participate in meetings when translation, cultural context is needed and also translate relevant documents when required.
- Responsible for archiving of all the documents related to the projects.
- Any other tasks as required.
It is expected that the applicant
- Works in line with rules on good administrative behaviour and in line with Ministry guidelines, especially when handling various information and archiving material.
- Follows the security regulations of the Embassy as well as the regime for Occupational Safety and Health.
Essential academic and personal qualifications
The applicant must have
- A Master's degree in administration or similar qualifications
- Relevant experience in accounting, administration, project management or similar. Preferably at least one year of relevant working experience from a similar position in an international organisation.
- Good IT skills including skills in using Microsoft office, Outlook, Teams, Webex and other applications for online meetings and project planning programs.
- Good interpersonal skills, willingness to work effectively, ability to work responsibly and systematically.
- A positive outlook and an interest to meet new challenges and other cultures.
- Good communication skills both oral and in written.
- Excellent command of the Bangla and English language in terms of understanding, speaking and writing.
